Approving or Rejecting Requests
When an employee submits a leave request, you'll receive a notification. To process it:
- Go to Management → Leave.
- Find the pending request (shown with Pending status).
- Review the dates, leave type, and reason.
- Click Approve or Reject.
- If rejecting, enter a short reason — the employee is notified by email.
Managing Leave Balances
Each employee's leave balance is shown on their profile under Leave Balances. You can manually adjust a balance if needed (e.g., to correct an error or add a special entitlement):
- Go to Settings → Users and open the employee's profile.
- Click Edit Leave Balances.
- Update the balance for the relevant leave type.
- Click Save.
Yearly Initialization
At the start of each calendar year, you'll need to initialize leave balances for all employees. Go to Management → Leave → Initialize Year, select the year, and confirm. The portal will reset applicable leave types (VL, SL) and carry over any unused balances according to your company policy settings.
WARNING
Run yearly initialization before the first working day of January. Employees cannot submit leave requests for the new year until their balances are initialized.
